Office 365 migrations are very complex procedures. The mail migration from existing Exchange servers to Office 365 involves a great deal. It involves :
a) Choosing which migration method is the best. This needs to take into consideration the infrastructure which is currently existing of the mails and the requirement of the organization.
b) Based on the above, a plan down to the last detail needs to be created for migration of the mails
c) A pilot should be run with a few test mailboxes to see if the mails, the contacts, the tasks and the calendar are all getting migrated well
d) The throughput of the mail migration is needed to be estimated. It consists of informing the management as to how many and what resources will be required for the project as well as the estimation in terms of the time which will be required so that the complete mail infrastructure will be migrated to Office 365.
The above four points can be further divided into :
1. Analysis of the organizational needs, the requirements, the infrastructure which is available
2. Choosing the technology which is to be employed for mail migration
3. Evaluating and studying the mail organizational infrastructure as well as what are the factors that the mail migration process will involve.
4. Optimizing the way the mail migration process will work
5. Estimating the details which will be needed for the project in terms of time, resources and personnel.
6. Implementing the entire process
7. Monitoring the migration process
8. Troubleshooting incase any anomaly is seen.
In order to migrate mails to Office 365 the following options are present:
a) Microsoft office 365 tools which are built in for mail migration. This is used for Cutover Migration, Stage Migration, Hybrid migration and can also be used for IMAP migration as well.
b) Use of third party tools which help in mail migration. This is done by third party MAPI or third party RPC migration or even by Third party EWS migration
c) PST migration which is one by the client uploading.This is done from the pst files on Outlook.
Mail Migration can be done from server to server or it can be done from Client to server.
In server to server mail migration the exchange online connects the mail server of the organization and pulls out whatever data is there in it. In this the destination server hosts the mailboxes and is the exchange server. The exception is when there is IMAP Mail migration. IMAP protocol is basic and very limited. Hence the different types of data which exist in the user mailbox of Exchange servers cannot be dealt with. IMAP migration is only used when there is no other option like if a standard mail server is used as a source the mail server.
Client to server migration is based on pushing the data to the mailbox of Exchange online. This is like the pst migration. The user has to export the mailbox data to pst files and then the data can be moved or copied to the online mailbox of Exchange.
